Job Summary

We're OutsideClinic - the UK's leading home-visiting optician and hearing specialist. We have provided at-home sight and hearing care for older people within their communities for over 30 years. We believe that clinically excellent eye and hearing care should be accessible and affordable for all. Our mission is to change people's lives by delivering excellent optometry and audiology services in the homes of people who can't get to the high street unaided.

A stimulating and varied role supporting the Audiology Department and the Head of Hearing, maintaining NHS Adult Hearing Service contracts, and ensuring adherence to contractual obligations.

  • Retrieve Missing Data each morning, ensuring all NHS appointments have a corresponding Datafile; liaise with field staff where necessary.
  • Compile, analyse and report monthly NHS activity data; manipulate raw data into pre-determined templates and investigate unusual or unreconciled activity. These will be compiled in Excel, .CSV, Word, or input directly into online platforms such as the Data Landing Portal (DLP) or NHS Digitals Strategic Data Collection Service (SDCS).
  • Compile, analyse and report monthly and quarterly quality data. Arrange and calculate management quality material and KPI data and investigate unusual activity or anomalies. Ensure accurate and honest reporting, liaising with IT, NHS Contracts Manager and Head of Hearing.
  • Action the continuous flow of NHS GP referrals, ensuring all downloads, document control and patient data processing are conducted in a timely and secure manner.
  • Have responsibility for the Audiology NHS e-mail account, ensuring all messages and queries are actioned within a reasonable timeframe or forwarded to the relevant area. All emails must be responded to acknowledging receipt to patients and GP Surgeries.
  • Administrate the Contract Database, ensuring all dates, activity and records are up to date and meaningful.
  • Create and sustain strong relationships with Commissioners, Contract Managers, and all other stakeholders, preserving trusted communication and reliance on accuracy and speed of response with data and information.
  • Confident and professional communication on the telephone, via videoconference, email, and in person, reflecting a good impression on the business always.
  • Absorb, understand, and recall NHS contractual obligations and idiosyncrasies.
  • Support with NHS Care Homes administration and point of contact for stakeholders.
  • Administrative support to colleagues where required at times of high workflow.
  • Take part in contract review meetings, discuss, and explain relevant contractual information and analytical data, assist NHS Contracts Manager with taking and distributing minutes and completing all relevant action points within given timescales.
  • Monthly reporting on NHS Digital SCDS platform with patient wait times, reporting monthly statistics to NHS England. Complete macro enabled templates with data gleaned from management reporting system, reporting high exceptions to NHS Contracts Manager and Head of Hearing.
