The Business development team is now looking to hire a Team co-ordinator to support their team.
Title: Team Coordinator.
Location: Nottingham
Role summary
Manage the secretarial and administrative requirements of the Director of Business Development and Director of Customer Experience in a professional, confidential and efficient manner.
Support the Head of Delivery and Direct Reports with the day to day running of the Department including specific ownership and management of the Anticipated Works Schedule (AWS), Post Implementation Review (PIR) calls with partners, combined with over all administrative elements of the Department.
The role
To manage the secretarial and administrative requirements for key stakeholders, including:
- Calendar management and prioritisation of schedule as directed through weekly/ daily reviews.Management of lease signing by Board directors Setting up regular meetings / conference calls, booking rooms and sending notifications as required. More specifically organizing quarterly team meetings, agendas, accommodation etcOrganise all travel and accommodation as required in accordance with the expenses policy
- Deal with all telephone calls and incoming and outgoing mail (including e-mail)Organise and manage the comprehensive existing filing system to include setting up of new files, maintaining the systems and completing all filing as required
- Attending meetings and documenting minutes and actions where necessary Creating and amending PowerPoint presentations Updating reports and requesting information from the management teams as required or on a regular basis
- Support the Director in the collation and sign off process for quarterly and annual bonus and pay reviews
- Specific project involvement, as and when requiredAnnual leave management for Senior TeamEnsure the organisation charts are up to date and maintained on the company intranetManagement and support of PIR (post implementation review) calls with partners and capturing actions for distribution
The successful candidate will have previous work experience working as an Administrator or Personal Assistant, be highly organised, efficient with excellent attention to detail, experience in general administration and able to maintain confidentiality.
